Job Details

We’re looking for a warm, reliable, tech-savvy Virtual Assistant to support a growing coaching and leadership brand. This is a part-time, flexible role starting at approximately 5 hours per week, with the opportunity to grow over time. You can work whenever it fits your schedule, with just one weekly 60-minute check-in call. In this role, you’ll help with content scheduling, social media posting, email marketing, simple website updates, CRM organization, and event coordination. You’ll work WITH a custom GPT that drafts content in the brand voice, and you’ll be responsible for posting, editing, and managing workflows. We’re looking for someone confident with Flodesk, Dubsado, and ShowIt, and comfortable navigating Instagram, Facebook, and LinkedIn. You’ll also help support a women’s leadership community, organize events, schedule clients, build simple landing pages, and assist with marketing funnels. If you are proactive, detail-oriented yet creative, love organization, communication, tech, and helping things run smoothly behind the scenes — this role is for you. This position is deliverable-based (not hourly), ideal for someone who loves flexibility, autonomy, and the opportunity to grow with a purpose-driven brand.

Qualifications

Strong experience with Flodesk (emails, workflows, automations, checkout pages, segments). Proficiency in Dubsado (contracts, invoices, CRM, workflows). Experience with ShowIt for website edits and simple page builds. Social media management experience, especially LinkedIn, Instagram, FB. Comfort using AI tools, including custom GPTs. Strong copy intuition and ability to apply brand voice consistently. Excellent communication; warm, friendly, polished, client-facing. Highly organized, detail-oriented, and self-directed. Comfortable taking initiative, proposing improvements, and owning deliverables. Experience supporting coaches, consultants, or online educators is a strong plus.

Responsibilities

Deliverables could include some or all of the following with room to expand and grow over time as the company grows and evolves. CONTENT and SOCIAL MEDIA SUPPORT Draft branded social media content using our custom GPT (already trained to founder’s voice). Pull content from founder's newsletters, book chapters, workbook material, and long-form content. Post on Instagram, LinkedIn, and Facebook with proper formatting and brand consistency. Manage and grow the community LinkedIn group: Approve members, Post updates; reminders, Promote events; newsletters, Schedule weekly LinkedIn newsletter (content provided). Repurpose content across platforms while maintaining brand voice. EMAIL MARKETING and SALES FUNNELS (Flodesk expertise required) You will: Draft marketing emails and nurture sequences using our custom GPT. Build and update workflows, segments, automations, and email sequences. Create and test checkout pages, links, workflows, and landing pages for: Coaching programs, Workshops, Retreats Create Funnel entry points (quiz, lead magnets, etc.) Set up and segment audiences for upsells into coaching, retreats, workshops, and speaking. Troubleshoot deliverability, formatting issues, broken links, and errors. WEBSITE and TECH SUPPORT (ShowIt experience required) Update website copy, images, and layout in ShowIt. Build simple landing pages, event pages, or program pages as needed. Test user flows, funnels, and links end-to-end for a seamless client experience. DUBSADO / CRM MANAGEMENT Send proposals, invoices, and contracts. Update contract details and client information. Maintain CRM cleanliness and tagging accuracy. Schedule coaching clients and manage session reminders. Track leads and client workflows from inquiry → booked. EVENT and COMMUNITY COORDINATION Manage logistics for community events (local and virtual). Source venues, coordinate RSVPs, send reminders, and follow up with attendees. Post announcements in the LinkedIn community group. Support retreat, workshop, and speaking event logistics as needed. SPEAKING and PODCAST OUTREACH Proactively research, pitch, and coordinate: Speaking engagements, Guest podcast opportunities, Panels and fireside chats Track follow-ups and coordinate communication until booking. SYSTEMS, PROJECT MANAGEMENT and AUTOMATION Maintain and update SOPs and create new SOPs for all new processes. Use Loom or Zoom to record workflows for documentation. Recommend automation opportunities (AI, integrations, workflow simplification). Manage deliverables on a weekly and monthly basis. Bring proactive solutions, recommendations, and improvements.
