Job Details

The Events & Programs Coordinator is responsible for planning, coordinating, and executing our signature events, monthly programs, and coordinating programs and community engagement for workforce development initiatives. This role serves as a key connector between employers, partners, participants, and internal teams. This position manages logistics, relationships, data tracking, and day-to-day execution, supporting our mission to strengthen the manufacturing workforce and member engagement.

Qualifications

Education and Experience • Experience in Event Management, Hospitality, or a related field • 3 - 5+ years of experience in event planning, program coordination, or a related role • Experience working with employers, community partners, or membership organizations preferred Required Skills and Abilities • Excellent verbal, written, and interpersonal communication skills • Strong organizational skills with high attention to detail • Ability to manage multiple projects and deadlines in a fast-paced environment • Experience creating, implementing, and monitoring budgets • Strong analytical and problem-solving skills • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Mail Merge) • CRM/ERP experience (HubSpot strongly preferred) • Ability to build and maintain relationships with diverse stakeholders • Comfortable working under pressure and managing live events Physical Requirements • Prolonged periods of sitting and working on a computer • Ability to stand for extended periods (6–9 hours) during events • Ability to lift 25–50 pounds as needed for event setup and materials

Responsibilities

Event Planning and Execution • Plan, coordinate, and execute all events from concept through completion while managing timelines and budgets (4 Key Member Events, Monthly Lunch & Learns, and Community and Workforce-related events) • Coordinate logistics for workforce-related meetings, trainings, info sessions, career fairs, and employer convenings • Serve as a liaison point of contact for employers, schools, training providers, and community partners • Coordinate venues, catering, speakers, presenters, entertainment, and vendors • Coordinate all event-related materials including signage, promotional materials, and on-site resources • Manage event setup, on-site execution, and breakdown to ensure professional attendee experience • Track event expenses, process invoices, and support sponsorship acquisition • Manage guest registration, communication, and support using ERP/CRM systems • Collaborate with the team on event strategy, promotion, and member engagement Data, Systems and Reporting • Maintain accurate records for events and workforce programs in HubSpot • Track participation, engagement, budgets, and outcomes across programs • Support reporting, data requests, and internal performance tracking as needed • Assist with continuous improvement of systems, tools, and processes
