The Administrative Assistant plays a vital role in supporting the mission and leadership of Bryn Mawr Presbyterian Church by assisting with the administrative tasks for the pastor, treasurer and finance committee, vendors, deacons, church leadership, volunteers and community members. The responsibilities encompass a wide range of duties including office management, administrative support, financial tasks, communications, scheduling, and assisting with events and projects. Overview of Position: Office Management: Respond to office emails, phone messages and calls, mail deliveries, in-person volunteers and contractors, update church website, and maintain an organized office space. Administrative Support: Provide administrative support for the pastor, church leaders, and volunteers, such as the layout and distribution of the weekly worship bulletin, annual report etc. Financial Support: Assist with financial tasks, such as handling offering collections, recording donations, preparing payments, and entering transactions into the church’s financial systems, which include QuickBooks and Servant Keeper. Communications: Provide written and verbal communications with church staff, treasurer and finance committee, vendors, members, and partners to achieve common goals. Schedule and Assist with Events: Schedule building requests and activities, vendors, and maintain records for programs and events. Other responsibilities: Assist with ordering office and building supplies, maintaining inventory, refilling restroom supplies, and monitoring and reporting building maintenance needs to ensure the church facility is in good condition.

Key Responsibilities; Tasks: Daily responsibilities include handling emails, answering phone calls and voicemail messages, texting messages, and managing correspondence: Check emails and provide responses. Communicate via text when necessary. Check VM messages and answer phone calls. Process incoming mail and deliveries. Manage correspondence. Scheduling and Coordination: Managing calendars and work schedules (weekly, monthly). Scheduling building use and updating BMPCs google calendar (weekly, monthly, yearly). Assist with other tasks as assigned. Record Keeping: Maintain organized filing systems, spreadsheets and reports, such as vouchers, invoices, receipts, church directory, the annual report, etc. (weekly, monthly, yearly). General Office and Support: Order supplies – Office Depot, Costco (building supplies: toilet paper, paper towels, soft-soap, etc. (monthly). Arrange sanctuary (weekly). Restock restrooms and paper towels in the kitchen area. Add water to the drain in the women’s lower-level restroom (weekly). Assist with other tasks as assigned. Building Maintenance: Monitor building maintenance needs and cleanliness (weekly). Budget and Finance: Accurately record revenue and expense items within the accounting software. Reflect contributions to the church within the donor management/reporting software. Process vouchers for expenditures and ensure vendors are paid timely. Security: Ensure the church facility is secure and adhering to safety protocols.
