Alta Technologies is looking for an exceptional Executive Assistant to support our President. This is not a role for someone who simply maintains a calendar and waits for assignments. We are looking for a proactive, thoughtful, highly organized person who enjoys creating clarity, closing loops, and helping leaders stay focused on the work that matters most. The right person will become a trusted partner to our President - someone who can absorb a stream of meetings, voice notes, projects, commitments, and ideas, then help organize them into priorities, actions, communications, and completed work. You will work across the company, interact with leaders, employees, candidates, customers, vendors, and industry partners, and help ensure important details do not get lost in the pace of a growing business. This role could be full-time or part-time, depending on your availability. Most time should be in office, but there is some flexibility for hybrid days and hours.
Strong candidates will have experience in executive support, project coordination, office management, event coordination, or a related role. You should be comfortable using Microsoft Outlook, Word, Excel, PowerPoint, Teams, and Adobe Acrobat. You should also be able to learn new systems quickly and use technology (including LLMs and AI tools) to organize information, manage follow-up, and simplify recurring work. Experience supporting senior executives is valuable, but we are equally interested in candidates who demonstrate exceptional organization, ownership of their work, communication, and follow-through. Experience with EOS, leadership meeting preparation, board presentations, Shopify, and/or trade shows is helpful but not required. You will help manage the operating rhythm surrounding our President (primary) and executive team (as time and need requires). That includes bringing order to calendars, priorities, projects, meetings, documents, events, communications, and follow-up. You will help prepare executives for what is ahead, capture what comes out of meetings and conversations, and make sure commitments are translated into clear next steps. A key part of the position will involve listening carefully and organizing information. Our President frequently works through ideas and priorities verbally, including through recorded voice notes and in-person conversations. You should be comfortable turning those inputs into useful meeting notes, insights, project lists, assignments, reminders, and communications for other team members. You will also support recurring leadership processes, including EOS Level 10 Meetings, quarterly planning, State of the Company presentations, and quarterly board materials. Beyond executive support, you will help coordinate company events, client visits, trade shows, candidate interviews, onboarding experiences, vendor reviews, internal introductions, and cross-functional projects. You will scan documents, order supplies, and answer, screen, and route calls. You may also create or refine documents, spreadsheets, presentations, PDFs, filing systems, and other materials that help the company operate more effectively. The work will vary. Some assignments will be highly visible. Others will involve quietly working on tasks and priorities for our team. What Success Looks Like You create calm and clarity around busy executives. You anticipate preparation needs before meetings occur. You notice when deadlines are approaching, responsibilities are unclear, or an important follow-up has stalled. You respectfully remind people, ask the right questions, and continue following through until the loop is closed. You understand that not every task deserves the same amount of time or perfection. You know when a board presentation requires exactness and when an internal document simply needs to be clear, accurate, and completed. Over time, you learn the priorities, communication styles, and working preferences of our President and executive team. You become someone they trust to protect their time, organize their thinking, provide direct feedback and observations, improve recurring processes, and help turn plans into results.
