Job Details

Scheduling & Coordination • Schedule estimates for potential customers • Schedule confirmed painting jobs • Update and manage the company calendar • Communicate with clients about upcoming appointments and project timelines 2. Lead Management & Sales Support • Make cold calls to generate new leads • Follow up with previous estimates and prospects • Track leads in CRM or spreadsheet for accurate reporting • Respond to phone calls, emails, and website inquiries promptly 3. Project Support • Create and distribute work orders for painting crews • Confirm material availability with suppliers when needed • Maintain organized digital and paper job files 4. Customer Service • Follow up with customers after job completion for feedback and reviews • Handle incoming client questions and resolve basic concerns • Send thank-you emails or cards to clients

Qualifications

• Experience: 1–3 years in administrative support, office management, or customer service (construction, home services, or sales support preferred) • Communication Skills: Excellent verbal and written communication; confident making cold calls and following up with clients • Organization: Strong ability to manage multiple schedules, prioritize tasks, and meet deadlines • Technical Skills: Proficient with computers, scheduling software, and Microsoft Office (Excel, Word, Outlook); experience with CRM software is a plus • Customer Service Mindset: Friendly, professional, and comfortable handling client questions or concerns • Attention to Detail: Accurate data entry and record-keeping skills • Independence & Initiative: Able to work with minimal supervision and take ownership of daily tasks • Team Player: Works well with field crews, estimators, and management to keep operations running smoothly • Work Ethic: Reliable, punctual, and willing to take on a variety of administrative and support tasks

Responsibilities

Schedule estimates for prospective clients and coordinate calendars for estimators and crews • Schedule and organize confirmed painting jobs, ensuring all details are communicated to crews and customers • Make cold calls to generate new leads and maintain a pipeline of potential customers • Follow up on open estimates, leads, and customer inquiries to convert opportunities into scheduled jobs • Prepare, organize, and distribute work orders for field crews • Maintain accurate customer records, job files, and lead tracking systems • Answer incoming calls and emails, providing professional and friendly customer service • Support daily office operations, including filing, data entry, and updating project management systems • Assist with supplier coordination for materials and confirm availability when needed • Follow up with customers after project completion for reviews, referrals, and satisfaction checks • Prepare weekly administrative and sales reports for management
