We are seeking a high-performing Executive Assistant (EA) to serve as the strategic right hand to both founding partners. This is a dual-principal role built for someone who thrives on ownership, anticipation, precision & discretion. The EA's primary mission is to protect the time of both founders, design exceptional calendars, filter inbound communication & proactively manage the details of business and personal life — so the firm can scale and the founders can operate at their highest level.

Calendar & Time Management -Own & maintain both founders' calendars with full precision -Design a "perfect week" structure for each principal covering business, personal & family priorities -Schedule all meetings with context, prep notes & buffer time built in -Account for travel, drive time & recovery in all scheduling -Color-code calendars for clarity -Audit both calendars 6+ weeks out on a recurring basis -Proactively surface & resolve scheduling conflicts between both principals White Glove Front-of-House Experience -Greet all clients, prospects & partners personally & warmly upon arrival -Prepare conference rooms in advance — materials, refreshments & ambiance -Maintain a master visitor log with client preferences, dietary needs & personal notes -Coordinate hospitality — coffee, beverages, catered meals when appropriate -Keep the office environment on-brand & presentation-ready at all times -Send personalized follow-up notes or gifts post-meeting when appropriate -Anticipate VIP arrival logistics — parking, building access, timing Inbox & Communication Management -Process both founders' inboxes twice daily -Filter, prioritize & respond on behalf of each founder when appropriate -Draft acceptances, declines & deferrals using approved templates -Ensure external partners receive fast, professional responses at all times Meetings & Admin Cadence -Prepare & run daily/weekly admin meetings with each founder -Maintain structured agendas: calendar review, open loops, decisions needed, follow-ups -Capture all action items & drive execution Travel Planning & Coordination -Own end-to-end travel for both principals — flights, hotels & ground transportation -Follow travel preferences & loyalty programs for each founder -Build detailed trip files with all confirmations & documentation -Handle delays, changes & cancellations proactively Event Coordination -Communicate with hosts, event organizers & media contacts -Manage Calendly links & pre-event intake -Ensure all prep materials & logistics are handled seamlessly Personal & Family Support -Coordinate personal appointments & family commitments for both founders Systems, Security & Tools -Maintain organized digital filing systems -Support Redtail CRM maintenance & contact organization Strategic Support & Problem Solving -Track ongoing projects & deadlines across both founders -Identify gaps, inefficiencies & risks before they become problems -Present solutions with 2–3 clear options -Keep both founders focused on their highest-leverage work Daily & Weekly Cadence -Daily: Review calendars, process inboxes AM & PM, prepare admin agendas, end-of-day recap & next-day priorities -Weekly: Full 6-week calendar audit, confirm upcoming meetings, review travel & family plans, restock office supplies
