Gallant Property and Development Services was started in 2019 to serve the needs of a small commercial real estate investment group. Since its inception, Gallant has grown to provide five core solutions to its real estate owners and investors.
The Business Administrator provides administrative and financial coordination support for the General Manager and Gallant ownership team. The role supports executive administration, accounting, vendor and contract management, and office operations. This role serves as a key point of coordination for executive scheduling, accounts payable, contract tracking, and business administration. The ideal candidate is highly organized, detail-oriented, professional, and capable of handling confidential information with discretion.
• 3+ years of administrative, accounting, office management, or contract administration experience. • Experience with Microsoft Office 365, including Outlook, Excel, Word, and Teams. • Experience with QuickBooks Online preferred. • Strong organizational and project coordination skills. • Excellent verbal and written communication abilities. • Ability to manage multiple priorities and deadlines. • High attention to detail and accuracy. • Ability to handle confidential information in a professional manner.
Executive Administration • Coordinate calendars, meetings, appointments, correspondence, presentations, and meeting materials. • Manage incoming communications, company records, filing systems, databases, and special projects. • Prepare and distribute polished internal and external communications while safeguarding confidential information. Accounting • Process, code, and enter approved invoices in QuickBooks Online; maintain complete supporting documentation. • Coordinate vendor payments, monitor due dates, and assist with credit card reconciliations, expense tracking, and accounting close activities. • Maintain current vendor records, including W-9s, payment information, licenses, and certificates of insurance. Vendor and Contract Management • Serve as an administrative contact for vendors, contractors, and service providers, including onboarding and issue follow-up. • Coordinate proposals, quotes, RFPs, agreements, renewals, amendments, and related correspondence. • Maintain the contract tracking system and monitor renewal dates, insurance, licensing, and other compliance requirements. Property and Business Support • Assist with communications involving tenants, investors, lenders, vendors, and other business partners. • Maintain leases, insurance policies, corporate records, contracts, and operational documents. • Support document preparation and administrative coordination for property acquisitions, financing, development projects, meetings, and events.
