Job Details

The Office Manager is a highly organized and service-minded individual who supports daily administrative operations of a vibrant church community. This role is essential in creating a welcoming and efficient environment for staff, members, and visitors. Reliability, strong administrative skills, familiarity with church life, and a commitment to supporting the mission and values of our inclusive and affirming congregation are essential to this role! The Office Manager oversees three primary areas of responsibility: Hospitality, Administration, and Communication/Database Management.

Qualifications

Our ideal candidate has: · Prior professional experience in an administrative capacity and the skills to manage a busy office environment. · Database management experience (Servant Keeper is a plus!). · Top-notch organizational skills and an eye for detail. · Strong communication and people skills. · Familiarity with the rhythms of church life, either as a congregant or staff member. · A helpful and welcoming spirit that reflects our inclusive mission and culture. · Good energy and a can-do attitude. · The ability to navigate technology easily and confidently. · Availability to be in the office Monday through Friday during core business hours, including the days leading up to high holidays (open to discussion on specific hours!) · Experience with bookkeeping and/or church bulletin design is not required but would be nice to have!

Responsibilities

Hospitality · Serves as a reliable on-site presence and the first to welcome visitors and guests. · Manages and answers phone system and directs callers to the appropriate person; updates phone menu including on-call pastor and seasonal church service hours. · Responds in a timely and professional manner to office phone messages and emails. · Maintains internal events calendar, including room reservations and setup needs; regularly communicates with custodial team on building issues. · Maintains a professional and welcoming office space—including mail room, printer room, staff lunchroom, and lost and found—tidying and organizing as needed. Administrative · Provides general administrative support including printing, copying, mailing, event preparation etc. as needed or requested by church staff. · At times serves as an executive assistant to the Senior Pastor, assisting with tasks like calendar management, correspondence, or travel planning. · Inventories, orders, and restocks office supplies and equipment. · Manages office equipment performance and calls for repairs. · Orders worship materials (communion wine, program materials, altar flowers, etc.). · Prepares certificates for milestone events including weddings, baptisms, and confirmation; keeps the church's official record book updated. · General filing and organizing. Communications and Database Management · Trusted with confidential and/or sensitive member information. · Manages church database to ensure accurate member information; distributes quarterly and annual giving statements and responds to member inquiries. · Recruits and partners with volunteers to complete office projects or prepare for large-scale services and events (e.g. Easter and Christmas bulletins). · Works with pastoral staff and families to plan and schedule baptisms and funerals. · Maintains spreadsheet of weekly attendance and livestream data. · Maintains process and procedures documentation for office equipment and administrative tasks. · Serves as backup to Communications Coordinator by providing support with newsletter and bulletin preparation as needed. · Manages internal team calendar including birthdays and anniversaries.
