The Clinic Team Lead is the manager for the Front Desk team and a key point of contact for the departments and client needs. This role requires a blend of exceptional customer service, organizational skills, problem solving and the ability to guide and support team members through honest and clear communication. In addition to performing all duties of the Front Desk Coordinator, the Clinic Team Lead takes on additional responsibilities to foster a positive and efficient clinic environment with a whole clinic lens to ensure our clinic operations are running smoothly.
--Previous leadership experience preferred --Previous customer service experience in wellness, customer service, serving or administrative fields preferred --Intermediate computer skills required --High school diploma required; bachelor’s degree preferred --Exceptional organizational skills and attention to detail --Understanding and/or experience with Chiropractic, Massage, Acupuncture, or other holistic perspectives --Aligned with our organizational values
--Publishes front desk schedule, ensuring rest and meal break compliance. --Manages and coaches the front desk team, including delivering praise and constructive feedback, goal setting, coaching on flow and modeling client-centric care at the desk. -- Leads on all performance management measures with the Front Desk team, including in-the-moment coaching, feedback delivery and Performance Improvement Planning as needed --Prepares and conducts all reviews for the Admin team, in partnership with HR Operations Manager. --Partners with HR Operations Manager to onboard new Admin team members. --Liaison between FD and practitioner issues in real time - including conflict resolution, in the moment training and process improvement when needed. --Owns the flow for regularly checking clinic email and VM, including checking outside of business hours and/or when the office is closed due to weather. --Works some front desk shifts per week for team synergy and coaching. Occasional night/weekend coverage may be needed. --On call support and flexible fill-in for absences and break cover as needed. --Supports talent acquisition and recruiting efforts clinic-wide, in partnership with HR Operations Manager --Demonstrates a high level of professionalism in dealing with confidential and sensitive issues, maintaining HIPAA compliance and auditing the clinic for compliance. --Manages time-off requests for both administrative team and practitioners, making sure time off is blocked in the scheduling platform accurately. --Organizes and leads Admin team meetings. --Serves as a key patient liaison for follow up-support and passes action items to respective providers or leads on client contact directly --Audits cleaning of clinic and proactively leads Admin team to ensure monthly checklist is being completed in a timely manner --Provides strategic leadership for the FD team and assists in optimizing clinic flow and processes --Handles time off requests, absences and in-the-moment sick time process for FD team and reorganize schedule accordingly. --Serve as a role model by leading check-in discussions and fostering team engagement. --Support healthy conflict resolution and modeling open and honest feedback with the team. --Leads in communication and implementation of system and process updates within the team (and clinic as needed). --Conduct one-on-one check-ins with the FD team quarterly, in partnership with HR Operations Manager, to review progress, discuss goals, and support development.
