Seeking a proactive, detail-oriented Executive Assistant to support an EOS Implementer with calendar management, client coordination, meeting prep, follow-up, and general operations. This is a part-time role that is primarily remote, with occasional in-person support for client meetings/sessions in the Greater Minneapolis–St. Paul area. Qualifications

Required Qualifications • 2+ years of experience as an Executive Assistant, Operations Assistant, Project Coordinator, or similar role. • Exceptional organization, follow-through, and attention to detail. • Strong written communication and professional client-facing presence. • Comfortable managing multiple priorities and shifting schedules. • High proficiency with Google Workspace and/or Microsoft 365 (Calendar, email, Docs/Word, Sheets/Excel). • Comfortable working with video conferencing and scheduling tools (Zoom/Teams, Calendly or similar). • Based in (or able to reliably commute within) the Greater Minneapolis–St. Paul area, with reliable high-speed internet and ability to work independently in a primarily remote environment. Preferred Qualifications • Experience supporting a coach, consultant, founder, or small business owner. • Familiarity with EOS (Entrepreneurial Operating System) concepts (Rocks, Level 10 Meetings, Scorecards, To-Dos, V/TO). • Experience with CRM/task management tools (HubSpot, Salesforce, Asana, ClickUp, Trello, Monday.com, etc.). • Basic bookkeeping/invoicing support experience (QuickBooks, Xero, FreshBooks, etc.). • Comfort building simple SOPs/checklists and improving workflows. • Experience with social media management and basic marketing ops (e.g., LinkedIn content, simple content calendars, email marketing) and tools such as Canva, Buffer/Hootsuite, or Mailchimp/ConvertKit.

Responsibilities

Key Responsibilities • Calendar ownership: manage a complex calendar, protect deep-work blocks, schedule EOS sessions, and coordinate across multiple client stakeholders. • Inbox and communication support: triage email, draft replies, follow up on open loops, and maintain response-time standards. • Client coordination: schedule/confirm meetings, manage logistics, send reminders, distribute agendas, and ensure clients have what they need. • Meeting preparation and follow-through: prepare agendas and materials, capture action items, send recaps, and track deliverables to completion. • Document and file management: maintain organized folders/templates (agendas, scorecards, rocks, to-dos), keep versions clean, and standardize workflows. • Operations support: help with proposals, onboarding/offboarding clients, CRM updates, light bookkeeping/invoicing support (as needed), and vendor coordination. • Process improvement: spot inefficiencies, propose simple systems, and create repeatable checklists/SOPs. • Social media & marketing support: draft and schedule posts, coordinate basic content calendars, repurpose long-form content into short-form assets, and track simple metrics (as agreed). • Confidentiality: handle sensitive business and client information with discretion. Work Details • Location: Primarily remote, with occasional in-person support for client meetings/sessions in the Greater Minneapolis–St. Paul area. • In-person availability: Ability to handle meeting logistics and attend occasional sessions/meetings during business hours (reliable transportation required). Frequency will vary based on client needs. • Schedule: Part-time, approximately 10–15 hours/week to start, with potential to grow. • Tools: Email/calendar, Zoom/Teams, shared documents, and a task manager (we’ll align on the best system).
