This is a part‑time, contract Operations Administrator role for someone who wants their work to matter as much as their time. You’ll work remotely and directly with the founder to be the “behind‑the‑scenes conductor” who keeps our client referrals, assignments, and systems running smoothly. The schedule is flexible and can be designed around school hours, caregiving, or other commitments, as long as you’re reliable about follow‑through and communication. If you love organizing chaos into clear steps, keeping details from slipping through the cracks, and knowing that your work is helping real families get timely, respectful perinatal support, this role will feel deeply meaningful. You don’t need a specific title on your resume; we care more about what you’ve done and can do. We’re looking for someone who: - Has 5+ years of experience in operations, office management, project coordination, or similar work (healthcare or tech‑enabled services a plus) - Is very comfortable with online tools (email, calendars, spreadsheets, CRM or databases, communication platforms like Zoom/Slack, etc.) - Loves organizing information, documenting processes, and keeping systems up to date - Can track details across many moving parts and follow through without dropping balls - Communicates clearly and kindly with clients, community partners, and internal team members - Is proactive about solving problems and suggesting improvements - Is excited about maternal health, equity, and supporting families—experience with Medicaid, community health, or birth work is a plus but not required - Ability to speak another language fluently, especially Spanish, a plus but not required
In this role, you will help make sure clients and support teams are connected quickly and smoothly. Typical responsibilities include: - Monitor inbound referrals (email, forms, messages), gather key information, and enter/update records in our systems - Match clients to appropriate doulas or community support team members using our guidelines - Send out introductions and basic information so everyone knows what to expect - Keep our client, doula, and partner records organized and up to date - Track key steps in the client journey (intake, assignments, milestones) and flag anything that needs attention - Help document and improve simple, repeatable processes as we grow - Prepare basic reports or summaries (e.g., number of referrals, assignments, open items) for the founder You’ll work closely with the founder, with the chance to help shape how our operations run as we grow.
